Privacy Policy and Personal Information Collection Statement
Capstone Debate respects personal data privacy and handles personal data in accordance with Hong Kong’s Personal Data (Privacy) Ordinance (Cap. 486) (PDPO). This Privacy Policy also acts as our Personal Information Collection Statement for personal data collected through this website.
Who We Are
This website is operated for Capstone Debate, a Hong Kong debate and public speaking institution. For privacy questions, access requests, correction requests, or direct marketing opt-out requests, contact us at [email protected].
Personal Data We Collect
When you submit a contact form or newsletter form, we may collect your name, email address, telephone number, message, form submission date and time, source page, referring page, campaign parameters such as UTM tags, and technical information needed to process the submission.
Providing contact form information is voluntary. If you do not provide required contact details, we may not be able to respond to your enquiry, register your interest, or provide requested information about our programmes.
How We Use Personal Data
We use personal data to respond to enquiries, manage programme and event interest, follow up with prospective students or parents, provide requested information, send newsletter updates where requested, maintain website security, measure website performance, improve user experience, and keep internal records of enquiries and communications.
Analytics and Website Tracking
We use Matomo Analytics for website analytics. Matomo is self-hosted through our WordPress installation and is configured with analytics cookies disabled. It records aggregated website usage such as page views, referrers, device type, events, and form conversion events so that we can understand which pages and campaigns are useful.
We use Microsoft Clarity to understand user experience through aggregated heatmaps and session recordings. Clarity may collect interaction data such as clicks, scrolling, device/browser data, and page behaviour. Clarity data is processed by Microsoft.
We use Google Search Console through Site Kit to understand search visibility, search queries, impressions, clicks, and technical search performance. Search Console data is provided by Google and does not give us the full identity of individual search users.
We currently do not use Meta Pixel, Google Ads remarketing tags, or similar behavioural retargeting pixels on this website. If we add direct marketing or behavioural retargeting tools in the future, we will update this policy and implement any required consent mechanism before using personal data for those purposes.
Forms, Newsletter, and Email Services
Contact and newsletter forms are powered by Gravity Forms. Newsletter subscriptions are connected to Mailchimp, which is used to manage mailing lists and send email updates. If you subscribe to updates, your name and email address may be transferred to Mailchimp for that purpose.
You may unsubscribe from marketing or newsletter emails at any time by using the unsubscribe link in an email or by contacting us at [email protected].
Disclosure and Transfer of Data
We may disclose or transfer personal data to service providers who help operate this website and our communications, including WordPress hosting and security providers, Gravity Forms, Mailchimp, Microsoft Clarity, Google Search Console/Site Kit, and technical support providers. We do not sell personal data.
Some service providers may process data outside Hong Kong. Where this happens, we use them only for the purposes described in this policy and for operating, securing, analysing, or communicating through the website.
Cookies and Opt-Out Choices
Our website may use cookies or similar technologies for website functionality, security, analytics, and user experience measurement. Matomo analytics cookies are currently disabled. Microsoft Clarity and other third-party services may use cookies or similar identifiers depending on browser settings and applicable consent requirements.

Retention
We keep enquiry and newsletter records for as long as reasonably necessary to respond to enquiries, manage relationships with prospective or current students and parents, maintain business records, comply with legal obligations, and improve our services. We may delete or anonymise data when it is no longer needed.
Access and Correction
You have the right to request access to and correction of your personal data under the PDPO. To make a request, contact [email protected]. We may take reasonable steps to verify your identity before processing the request.
